Use Experience Management App Usage Data for Desktop to Help Manage App Licenses

With Omnissa Workspace ONE Experience Management categories, widgets, and triggers in Omnissa Intelligence, you can collect and visualize app usage data to help with app license management workflows.

Configure a Experience Management workspace in Intelligence so that you can see app usage and inactive users for discovery purposes during license consolidations. Consolidate individually purchased app licenses without the help of an ISV (independent software vendor). Know if your organization truly needs a true-up of their app licenses during the next procurement cycle based on actual data usage reported in your workspace.

What components do you configure?

  • Reports: Configure reports with device and app activity categories that can identify an app's installations and an app's regular users.
  • Custom Dashboards: Configure a custom dashboard with various widgets to collect and visualize the app usage data.
  • Workflows: Configure workflows triggered by app activity data to perform actions that work for your Experience Management environment. For example, configure the removal of an unused app using Omnissa Workspace ONE UEM. Send a micro-survey using Intelligence and the Omnissa Workspace ONE Intelligent Hub to ask users if they still need an app.

App license management example

Here is an example of how you can configure reports, dashboards, and workflows to collect and visualize app usage data and then act on that data to manage your app licenses.

  1. Create two reports using Experience Management categories to see device and app activity.
    1. Configure a report that shows devices that have not re-started at least once in the last 28 days.
      1. In Intelligence, go to Workspace > Reports.
      2. Select Add and choose Custom Report.
      3. Enter a name for the report.
      4. For the Category, select Intelligence > Device Activity.
      5. Enter a filter by selecting Device Activity > Device Last Boot Date, use the Not Within operator, and select Last 28 days.
      6. Save the report.
    2. Create another report that lists the usage of a specific app during the last 28 days.
      1. On the Reports page, add another custom report report by selecting Add > Custom Report.
      2. For the Category, select Intelligence > App Activity.
      3. For the first filter, select App Activity > App Last Foreground, use the Not Within operator, and select Last 28 days.
      4. Add another filter to your filter rule by selecting the plus icon.
      5. Select App Activity > App Name, use the Includes operator, and select the name of the app from the result list.
        Note: This topic uses Acme App as an example app.
      6. Save the report.
  2. Create a custom dashboard with various widgets to display the report findings.
    1. In Intelligence, go to Workspace > Dashboards.
    2. Add a Custom Dashboard and give it a name (for example Inactive and Active Acme App Users).
    3. Add five widgets to your custom dashboard.
      1. Acme App Managed Installs
        1. In your custom dashboard, select Add Widget > Custom Template.
        2. Select Workspace ONE UEM > Apps as the Category.
        3. Enter the name as Acme App Managed Installs.
        4. Select Snapshot for the Data Visualization.
        5. Select Metric for the Chart Type and select the listed parameters.
          • Select Count of Device ID for the Measure.
          • Select 10 for the Results per group.
        6. Add the listed Filters, separately and not as a rule set.
          • Apps > App Name that Includes the Acme App selected from the results list.
          • Apps > App Install Status that Equals as True.
          • Device > Platform that Includes all the applicable platforms you can select from the results list.
          • Apps > Managed App that Equals as True.
        7. Save the widget.
      2. Active Acme App Users Last 28 Days
        1. In your custom dashboard, select Add Widget > Custom Template.
        2. Select Intelligence > App Activity as the Category.
        3. Enter the name as Active Acme App Users Last 28 Days.
        4. Select Historical for the Data Visualization.
        5. Select Metric for the Chart Type and select the listed parameters.
          • Select Distinct Count of User for the Measure.
          • Select 10 for the Results per group.
          • Select Last 28 days as the Date Range.
          • Select Entire date range for the Frequency.
        6. Add the listed Filters separately and not as a rule set.
          • Apps > Application Name that Includes the Acme App selected from the results list.
          • Others > Event Name that Includes the event Application Foreground.
        7. Save the widget.
      3. Inactive Acme App Users Last 28 Days
        1. In your custom dashboard, select Add Widget > Custom Template.
        2. Select Intelligence > App Activity as the Category.
        3. Enter the name as Inactive Acme App Users Last 28 Days.
        4. Select Snapshot for the Data Visualization.
        5. Select Metric for the Chart Type and select the listed parameters.
          • Select Count of Device ID for the Measure.
          • Select 10 for the Results per group.
        6. Add the listed Filters separately and not as a rule set.
          • Apps > Application Name that Includes the Acme App selected from the results list.
          • Apps > App Last Foreground that is Not Within the Last 28 days.
        7. Save the widget.
      4. Top Apps by Total Screen Time (Last 28 Days)
        1. In your custom dashboard, select Add Widget > Custom Template.
        2. Select Employee Experience > Apps as the Category.
        3. Enter the name as Top Apps by Total Screen Time (Last 28 Days).
        4. Select Historical for the Data Visualization.
        5. Select Table for the Chart Type and select the listed parameters.
          • Select Sum of Duration in Milliseconds for the Measure.
          • Select App Name for the Group by.
          • Select 10 for the Results per group.
          • Select Last 28 days as the Date Range.
          • Select 28 days for the Frequency.
        6. Add the listed Filters separately and not as a rule set.
          • Others > Event Name that Includes the Application Foreground event.
          • Others > Platform that Includes the operating system platform (for example Windows Desktop).
        7. Save the widget.
      5. Top Apps by DAU (Daily Active Users) (Last 14 Days)
        1. In your custom dashboard, select Add Widget > Custom Template.
        2. Select Employee Experience > Apps as the Category.
        3. Enter the name as Top Apps by DAU (Last 14 Days).
        4. Select Historical for the Data Visualization.
        5. Select Line for the Chart Type and select the listed parameters.
          • Select Distinct of Device Name for the Measure.
          • Select App Name for the Group by.
          • Select 10 for the Results per group.
          • Select Last 28 days as the Date Range.
          • Select 1 day for the Frequency.
        6. Add the listed Filters separately and not as a rule set.
          • Others > Event Name that Includes the Application Foreground event.
          • Others > Platform that Includes the operating system platform (for example Windows Desktop).
        7. Save the widget.
  3. Create a workflow to identify all users every Friday at 5:00 am Eastern who have not used Acme App from the specified app publisher in the last 28 days and to uninstall the app. You could use other workflow options. If you use ServiceNow, consider creating a ServiceNow ticket to reclaim user subscriptions. You could send a survey to users who have not used Acme App asking them if they still need the app. For details about surveys in Intelligence, see What are Surveys?.
    1. In Intelligence, go to Workspace > Freestyle.
    2. Select Add Workflow and enter a name for your workflow.
    3. In the Available Data Sources area, select Intelligence > App Activity.
    4. Edit Trigger Settings.
      1. Select Schedule and define the Schedule Options parameters.
        • Recurrence: Weekly
        • Day(s) of the week: F and S (Friday and Saturday) with No End Date
        • Starts At: 5:00 EDT
      2. Configure the Trigger Rules with the listed Filters separately and not as a rule set.
        • App Activity > App Name that Includes the app name Acme App.
        • App Activity > Package Publisher that Includes the name of the publisher of the Acme App.
        • App Activity > App Last Foreground that is Not Within the Last 28 day(s).
    5. Add a step and selet an Action to remove Acme App from devices that meet the filter criteria.
      • Select the plus sign (+) to add a step.
      • Select Workspace ONE UEM.
      • Select the Remove Purchased Application action.
      • Search for the Acme App and select it for the Application Name text field.
    6. Activate the workflow using the toggle button near the name you entered earlier.
